Policies

Catering Provider

All catering in or on campus facilities should be provided by the on-campus caterer, unless you receive prior written approval to use an off-campus vendor.

Meal Service

Before deciding upon your menu, you should work with your event planner to determine if you would like to do a plated (served) or buffet meal. It is important to determine this early so that the catering department can hire adequate staff for your event.

Menu

Catering has a full menu available upon request. However, if you work with your event planner, there are an endless amount of options available to you for your event.

Special diets are accommodated upon request. Please submit requests well in advance of your event.

Event Timing

The maximum service time for meals and receptions is one hour. Although, in some instances certain foods will need to be pulled before the one hour period for health code reasons. Please talk to your caterer to determine what meals are in that criteria.

In order to ensure that your event is set up and cleared in a timely manner, please supply both the start time AND the end time when you book your event.

Lead Time

In order to provide the best service to your event, we request all orders be placed at least 10 days in advance of the event. Large events of 200 plus and VIP events should be placed a minimum of two weeks in advance of the event.

Guarantees

Final Guarantee (final guest count) is due 5 business days prior to event.

Decreases in the final count within 5 days of the event are not allowed.

Increases in the final count within 5 days of the event will be filled as product and labor is available. We will do our best to accommodate your request, which may involve substitute menu items.

The client will be billed for the amount guaranteed, or the actual number in attendance---whichever is greater.

Cancellations

We request a 96 hour (4 days) notice of cancellation or a 50% charge applies to all ordered food and supplies. Those events cancelled within 24 hours of the event will pay the full amount of the event.

Additional Fees

An additional fee and approval will be needed for China service outside of the University Center. Please contact our office for details.

A delivery fee will be applied to any event that takes place off campus.

Leftovers - Due to health code regulations, NO catered food is to be taken away at the end of your event from anyone other than the catering staff. No Exceptions.

Food Leaving Room:

Food is not to be taken out of the room that the event has been set up in unless permission is granted by catering staff. There will be a charge for any dishes and cleanup added to the bill if it is removed.

Billing

Internal Events

A final invoice will be generated following your event. A copy will be sent to you for your files and the final amount will be billed to your department.

In Kind Orders:

All orders using In Kind payments will need to be submitted at the time of ordering.

We will fill out a form and have you sign it and get it back to us within 10 days of the event. For all questions regarding In Kind please contact the catering office directly
